An automation follows steps
A trigger, then a fixed sequence. Reliable and cheap for work that never varies, and useless the moment the situation is not on the flowchart.
An AI agent is software that carries out a task from beginning to end on its own, working from plain language rather than a fixed script, and taking real actions along the way such as answering a call, replying to an enquiry or booking an appointment.
The word doing the work in that sentence is "acts". Plenty of AI produces text and stops there. An agent is judged on whether the job actually got done: the call answered, the question resolved, the booking sitting in your calendar afterwards.
The other half is "plain language". A traditional automation runs the same steps every time and breaks the moment reality differs from the flowchart. An agent interprets what was actually said, which is why it can handle a caller who opens with something nobody anticipated when it was built.
Also called: AI assistant, autonomous agent.
On the first or second ring, at any hour, without a queue or an "our office is currently closed" message.
From how the caller describes it, not from a menu of options. A blocked drain, a quote, a reschedule and a wrong number each get handled differently.
Checks the calendar, books the job, takes the details, or says plainly that this one needs a person and arranges the callback.
The call, a summary and the contact land in your CRM, so whoever picks it up next is not starting from nothing.
A trigger, then a fixed sequence. Reliable and cheap for work that never varies, and useless the moment the situation is not on the flowchart.
It understands what is typed and replies well. Whether it can do anything beyond replying depends entirely on what it has been connected to.
It interprets the request, chooses what to do, and carries it out in your calendar, inbox or CRM. The conversation is the interface, not the product.
An AI agent is not a replacement for judgement, and it is not honest to sell it as one. What it handles is the volume of routine contact a small team cannot: the after-hours call, the second caller while you are still on the first, the enquiry that arrives at nine at night. Complaints, unusual jobs and anything needing a real decision should be routed to a person, deliberately and quickly.
It is also only as good as what it is connected to. An agent with no access to your calendar cannot book anything, and one with no access to your CRM leaves you retyping every call. Most of the build is plumbing, not personality.
No, though the two overlap. A chatbot converses. An agent converses and then acts: it books the appointment, updates the record or triggers the follow-up. A chatbot wired into your calendar and CRM is effectively an agent; one that only answers questions is not.
The common jobs are answering the calls your team misses, replying to web enquiries within seconds, working out what the person needs, booking or rescheduling appointments, and passing anything unusual to a human with the context attached.
They should. Being upfront is both the honest position and the practical one: people are far more forgiving of an AI that says what it is than one that gets caught pretending otherwise.
In a small service business it usually covers work nobody was doing: the after-hours calls, the overflow, the follow-up that kept slipping. Framing it as a replacement tends to oversell what it can handle and undersell where it genuinely helps.
At minimum a calendar and somewhere to record the contact. Without those it can hold a good conversation and leave you no better off than a voicemail would have.
An AI receptionist is one kind of AI agent, the one that answers your phone. The same idea also shows up as a chat agent on your website and as follow-up agents that chase quotes and enquiries.
The AI receptionist answers every call, books appointments and passes on anything that needs you, around the clock.
